The reasons why we use your personal data

This privacy notice applies to the functions of the Environment Service relating to the processing of personal data and hosting of the Greener Futures content for colleagues, partners and residents online, via email and in-person on behalf of the Environment, Infrastructure and Growth Directorate.

What processing of personal data is undertaken by the team?

Initiatives and Schemes

We provide support to enable a Greener Future across the county including carbon reduction and nature recovery. We collect personal data to allow us to contact interested parties and allow individuals to register interest ahead of the launch of new schemes.

Consultations and events

We host a variety of virtual and in person events to promote the work of the Greener Futures team and allow Surrey residents the opportunity to stay up to date with our progress and co-design our approach.

Communications channels

Colleagues, partners, residents and other people with a local connection to Surrey are invited to share their progress, success, experiences and opinions which, following assessment, will be shared via Surrey County Council communications channels, listed below.

  • Commonplace website
  • Newsletters such as Greener Matters and Surrey Matters
  • Greener Futures mailing lists

This content will highlight opportunities, development and anecdotal experiences of initiatives that reduce carbon emissions and improve or promote environmental sustainability. With the aim to inform and inspire recipients to promote amongst the constituents, colleagues and community members within their networks, to keep them informed and make lifestyle changes to reduce carbon emissions and the subsequent environmental impact.

  • Expressions and opinions expressed through your correspondence

How we are allowed to use your personal data

To process your personal data, we will explain to you what we are asking you to agree to and why.

If we have consent to use your personal data, you have the right to remove it at any time. If you want to remove your consent, please contact us at the following email address greenerfutures@surreycc.gov.uk and we will deal with your request.

Initiatives & Schemes

If we are contacting you as part of an initiative or scheme, we will use your personal information, such as name and contact details (email or telephone number) in order to contact you in relation to your request for support. If your request for support relates to retrofitting your home, for example, we will also need to collect your home address in order to allow engineers to attend your home and provide in person support.

Consultations & events

If we are collecting your personal information as part of a consultation or event, we will use your name and contact details (email or telephone number) in order to invite you to the event and follow up with any relevant details.

Communications channels

If we are collecting your personal data as part of a submission of information to be posted via our communications channels, we will only use your expressions and opinions, social media account details and name. If you'd prefer this be anonymised a pseudonym can be used at your request.

Mailing list

Individuals outside of local/central government employment

If you are positioned outside of a local government organisation across Surrey, you will be invited to opt-in to have your personal data stored and be contacted.

Individuals employed by local/central government

If you hold a position within a local or central government organisation within Surrey, you will automatically be subscribed to receive content from us. Your contact information will be obtained from within the public domain such as publicly available websites, and you will be free to opt-out immediately at any time.

Consultations & events

We frequently partner with trusted organisations listed below in organising events. If we are going to share your information with one or more of these organisations, this will be clearly highlighted, and the relevant logos will be displayed.

For the purposes of our Local Nature Recovery strategy, known as Surrey Nature Recovery, we will share your data with our partner Surrey Nature Partnership who will be assisting us in coordinating our engagement and themed conversations.

Communications channels

The Greener Futures team may share information with the Surrey County Council corporate communications team. If we want to share any information you provide via our website, corporate social media or other communication channel channels, we will contact you concerning the approval of your content. Your first name may be shared on the published online content unless you request otherwise, or a pseudonym is provided.

Mailing list

Your personal information will not be shared with any other individuals within our mailing list and all correspondence will be sent by a secure mailing platform - Gov Notify.

Retention of data

Data will be retained for 10 years.

Other information

We welcome any photos or videos you may wish to include but please be mindful not to include any personal identifiable information.
