The reasons why we use your personal data
This privacy notice applies to the functions of the Surrey Student Fare Card scheme that enables 16-18 year old students living in Surrey and in full time education to purchase travel discount cards to use on buses and trains for their home to school/college journeys.
What processing of personal data is undertaken by the specific teams or services
Your personal data is collated for the purposes of assessing eligibility of students to purchase a bus /train discount card. The bus student fare card entitles students to travel at the child rate fare on buses for their home to school/college journey. The train student fare card entitles students to a third off the adult season ticket prices for their home to school/college journey. In addition, we collect your personal data for the following:
- Service delivery
- Service improvement and planning
- Prevention and detection of crime/fraud
- Research
- Statistical analysis and reporting
- Safeguarding
- Vital Interests
What information do we collect?
- Name
- Address
- Contact details
- School/College details
- Photographic image for identification purposes
- Journey information (start and finish points for bus and train travel for the home to school journey)
- Payment transactions are made via Worldpay site
- Notes
How we are allowed to use your personal data
Legal obligation or public task under various UK legislation including but not limited to:
- Education and Skills Act 2008
Who we share your personal data with
Personal data is shared with system supplier currently ESP Systex.
In addition personal data is only shared with South Western Railways when students apply for a duplicate train student fare card. Students are first required to complete an online form indicating that they require a replacement train student fare card (completing personal information as per initial data collection). Students are then required to complete and sign a duplicate student fare card form from South Western Railways containing their personal information in order to purchase a duplicate student fare card.

We do not use automated decision making

Personal data is not processed outside of the UK and EU
Retention of data
Data will be retained for 7 years after the deactivation of a record. Records are deactivated once a student becomes ineligible through age. Students must be aged 16 -18 (under 19 years of age on 1 September in the year of application).
