The reasons why we use your personal data

This privacy notice applies to the functions of Surrey’s Local Energy Area Plan. (LAEP)

The LAEP aims to support delivery objectives aligned with Surrey’s strategic priorities: a sustainable economy that benefits all, tackling health inequality, empowering communities and Surrey’s greener future.

The LAEP aligns with or impacts several SCC strategies, including:

  • Spatial Development Plan
  • Local Nature Recovery Strategy
  • Surrey Retrofit Strategic Action Plan
  • Surrey Climate Adaption Plan
  • Climate Change Strategy

What processing of personal data is undertaken by the service?

Your personal data is collated to:

  • Create current and future energy and fuel use models
  • Assess where grid capacity upgrades should be prioritised
  • Communicate with delivery partners in LAEP-related projects, which may include land use and planning initiatives
  • Work with Distribution Network Operators (DNOs) and engineers and installers to conduct feasibility assessments
  • Work with key local authority and national government teams in LAEP-related outputs
  • Meet SCC reporting, audit, and governance requirements

We collect data directly from you when you:

  • Complete a LAEP stakeholder survey
  • Attend a LAEP webinar or workshop
  • Attend an interview or focus group
  • Provide information aligned with current and future energy modelling
  • Contact us via email, phone, or meetings

We may also receive data from LAEP partners where relevant.

What information do we collect?

We may collect and process the following personal data:

  • Contact details (name, role, organisation, email and phone number)
  • Organisation address, operational sector, type and quantity of energy and fuel use
  • Future projections of energy and fuel use
  • Footprint of all Surrey-based premises and business activities
  • Number of employees
  • Information on current or previous issues and obstacles to energy plans
  • Future ambitions for growth, expansion, or new types of energy installation

How we are allowed to use your personal data

Consent

To process your personal data, we will explain to you what we are asking you to agree to and why. If we have consent to use your personal data, you have the right to remove it at any time. If you want to remove your consent, please contact us at the following email address: greenerfutures@surreycc.gov.uk and we will deal with your request.

Who we share your personal data with

We may share data with:

  • Consultants employed to conduct energy modelling scenarios
  • Partner organisations including but not limited to other local authorities, Department for Environment Food and Rural Affairs, Natural England, Distribution Network Operators, Department for Energy Security and Net Zero, National Energy System Operator
  • External assessors and evaluators
  • Auditors and regulators
  • IT providers acting on SCC’s behalf

Personal data being sent or processed outside of the UK and European Union (EU)

Data will generally be processed within the UK. Any transfers outside the UK will comply with data protection law.

Retention of data

Data is retained in line with SCC retention schedules, typically for 6–7 years after submission of data, which is provided with consent from the stakeholder organisation.

Other Information

We may request photos of completed works for case studies, although it is not compulsory for you to send these. If you submit images or videos to use, we will send you a separate consent form to comply with SCC photographic consent policies. Please be careful not to include any personally identifiable information in submitted media.

Any media received by us may be used on SCC social media, websites and Together for Surrey, as appropriate.
