The reasons why we use your personal data

This privacy notice supports our culture review work with Linguistic Landscapes and covers all participants of the project.

Surrey County Council (SCC) takes the processing of your personal data seriously. Please be assured that your information will be used appropriately in line with data protection legislation, will be stored securely and will not be processed unless the requirements for fair and lawful processing can be met.

What information do we collect?

In order to carry out our culture review we handle data in relation to:

  • Name of SCC employee and councillor
  • SCC email address
  • Expressions and opinions
  • Linguistic assessment of language

Our staff are trained to handle your information correctly and protect your confidentiality and privacy.

How we are allowed to use your personal data

Consent

We may share personal data in order to:

  • Enable Linguistic Landscape researchers to conduct interviews
  • Enable you to comment via bulletin boards
  • Co-ordinate and facilitate MS Teams meetings

Your information is never collected or sold for direct marketing purposes.

To process your personal data, we will explain to you what we are asking you to agree to and why. If we have consent to use your personal data, you have the right to remove it at any time. If you want to remove your consent, please contact us at the following email address employee.experience@surreycc.gov.uk and we will deal with your request.

The data we collect will be shared with Linguistic Landscapes.

Please rest assured that these organisations comply with all relevant data protection legislation in handling your data. Only anonymised information from all interviews and use of bulletin boards will be produced for review by Surrey County Council.

No automated decision making being undertaken.

Personal data being sent or processed outside of the UK & EU

Your information is not being processed outside the UK.

Retention of data

Your information will be kept for 7 years after termination of employment unless special circumstances apply, e.g. records for those working in residential care homes will be kept for longer. For a full list of retention periods applicable to personnel files see our data retention schedule.
