The reasons why we use your personal data
This privacy notice applies to the functions of the Resilience Grant programme that supports the delivery of Surrey’s environmental priorities, including the Surrey Local Nature Recovery Strategy (LNRS). The Resilience Programme is delivered by schools, nature and community groups, town or parish councils, residents associations and other legal entities or unconstituted organisations.
What processing of personal data is undertaken by the service?
Your personal data is collated for the purposes of:
- Submitting a grant application
- Entering into a funding agreement
- Providing monitoring and evaluation information
In addition, we collect your personal data for the following:
- Assessing and scoring applications
- Communication with applicants and delivery organisations
- Administering funding and processing payments
- Monitoring delivery and environmental outcomes
- Evaluating programme impact and informing future funding
- Meeting SCC reporting, audit and governance requirements
What Information do we collect?
We may collect the following information:
- Applicant details such as name, role, organisation, contact information
- Details of project leads, delivery staff, students and volunteers
- Ofsted, Eco-school and Learning Outside the Classroom (LotC) status
- Financial information required to administer grants, such as bank details, payment contacts
- Project proposals, monitoring data and evaluation reports
- Correspondence with applicants and funded organisations
- Equality, diversity and inclusion information
We may request photos of completed works for case studies, although it is not compulsory for you to send these. If you submit images or videos to use, we will send you a separate consent form to comply with Surrey County Council (SCC) photographic consent policies.
Please be careful not to include any personally identifiable information in submitted media. Any media received by us may be used on SCC social media, websites and Together for Surrey, as appropriate.
How we are allowed to use your personal data
Consent
To process your personal data, we will explain to you what we are asking you to agree to and why. If we have consent to use your personal data, you have the right to remove it prior to you receiving grant monies from Surrey County Council, if successful.
If you want to remove your consent, please contact us at the following email address greenerfutures@surreycc.gov.uk and we will deal with your request.
Who we share your personal data with
We may share data with:
- Partner organisations such as district and borough councils, Defra, Natural England
- External assessors and evaluators
- Auditors and regulators
- IT providers acting on SCC’s behalf
Retention of data
Data will be retained in accordance with SCC countywide data retention schedule.
We need to collect and process your personal data where we are entering into a contract with you. If your application is successful, and you receive grant monies from SCC, your data will be retained for 6 to 7 years after the end of the grant period.
